Zoho Books organizations, locations or reporting tags: which one for a group?
A legal entity gets an organization. Locations and tags work inside one. A decision table, what goes wrong when tags stand in for companies, and a setup picker.
Part of: Zoho Books for a group of companies: the complete guide
In this post 6 sections
In short
Give every legal entity in the group its own Zoho Books organization. Use Locations for sites or divisions inside one company, and reporting tags for analysis across a company’s transactions. Locations and tags sit inside a single organization, so they do not give a company its own books, currency or audit trail, and they do not make a group.
Key takeaways
- A legal entity gets an organization. It has its own books, base currency and subscription.
- Locations and tags work inside one organization. They suit divisions, sites and projects.
- Enabling Locations cannot be undone, according to Zoho’s help centre. Decide before you switch it on.
- Tags can mimic a group report but do not consolidate. One ledger, one currency, no eliminations.

What is the difference between an organization, a location and a reporting tag?
An organization is a complete set of books. Zoho’s help says you can create and manage multiple organizations, and that each new one starts a 14-day Premium trial before you subscribe to a plan for it separately1. By default one email address can create five2.
Locations sit inside an organization. Zoho describes a hierarchy of up to five levels, with business locations and warehouse locations, and states that once Locations is enabled it cannot be disabled3. The pages we opened do not describe a separate base currency or chart of accounts for a location.
Reporting tags are labels you attach to contacts, items and transaction line items, so that reports such as the profit and loss can be filtered by tag4. They answer “how much did this division make?” within one set of books.
Which one should each company in a group use?
The test is whether the thing you want to separate needs its own books. If it does, it is an organization. If it only needs its own report, it is a location or a tag.
| Situation | Use | Why |
|---|---|---|
| A separate legal entity, such as a subsidiary in another country | Its own organization | Its own books, base currency, tax filings and audit trail |
| Two entities in the same country with the same owners but separate accounts | Separate organizations | Intercompany between them has to be recorded and eliminated |
| Shops, branches or warehouses of one company | Locations | One company, one set of books, reports by site |
| Divisions, projects or cost centres of one company | Reporting tags | Filter the profit and loss without new books |
| A joint venture or associate the group does not control | Its own organization | It is reported separately and not consolidated in full |
Finconsol’s own setup picker applies the same test to your group. Answer a few questions about each company and it suggests a structure.
Organizations, locations or reporting tags?
Four questions about your group. We say which Zoho Books structure fits, and why.
Free: Zoho Books group set-up checklist
This free Excel checklist covers the decisions and steps for running a group of companies on Zoho Books: organizations, locations and reporting tags, base currencies, the exchange rate source, intercompany accounts, transaction locking, user roles and how the group is combined. Each step links to the Zoho help page that covers it, with an owner, a status and a done percentage.
- Thirty-two decisions and steps in eight areas, from structure to group reporting.
- The Zoho help page for each step, with its link, checked on 29 October 2026.
What goes wrong if one organization holds the whole group?
The shortcut is tempting. Run the parent’s Zoho Books organization, add a reporting tag called Quillfern, enter the German subsidiary’s transactions into it, and filter the profit and loss by tag. The report looks like a group report.
| Tag ZenvaraRevenue, GBP | 625,000 |
| Tag QuillfernEUR 700,000 entered at 0.8450 for simplicity | 591,500 |
| Revenue across both tagsSingle organization, base currency GBP | 1,216,500 |
Example group used across Finconsol guides. Assumes every Quillfern invoice is entered at the September average rate, which real invoices rarely are.
The figure ties to the translated total in our other examples, but only by assumption. In reality each euro transaction is entered at its own date’s rate, so the total is a mix of rates rather than an averageAverage rateThe exchange rate for a period, usually the month, used to translate a foreign subsidiary's income and expenses into the group's presentation currency.Open the glossary entry or a closing rateClosing rateThe spot exchange rate on the last day of the reporting period, used to translate a foreign subsidiary's assets and liabilities.Open the glossary entry. Balance sheet items stay at whatever rate they were booked, with no translation reserve. Intercompany fees between the two companies are not eliminated, because they sit in the same ledger. And the German company’s books no longer exist on their own for the auditor, the tax authority or a lender.
Zoho’s pages also show a practical limit. The reporting tags help page gives a maximum of 10 tags with 500 options each4, while the plan comparison page shows 2,000 or 5,000 options per tag depending on plan5. The two pages disagree, so check the limit on your own account before designing around it.
Can you change the structure later?
Some changes are one-way. Locations cannot be disabled once enabled3. Moving a company out of a shared organization into its own means building a new organization, which you can start from a clone1, and moving data by hand, since Zoho’s knowledge base says data cannot be transferred automatically between two organizations and describes manual export and import6.
The cheaper order is to decide first. Write down each company, its legal status, its base currency and who files its taxes. Where the answer to “does it have its own books?” is yes, create an organization on day one.
How does Finconsol handle this?
Finconsol reads one Zoho Books organization per company, directly, read only, with a refresh every night. That is why the one-company-one-organization rule makes the group view simple: each company arrives as itself, in its own currency and on its own chart.
Finconsol then maps each chart to one group chart, translates at the group’s closing and average rates, compares and eliminates intercompany balances, and shows non-controlling interest for part-owned subsidiaries. Divisions held as locations or tags inside a company stay inside that company’s own reports.
A group with companies on Xero, QuickBooks or another system brings them in by trial balance upload. The guide to Zoho Books for a group of companies and the post on whether Zoho Books can consolidate cover the reporting side.
| Company | Set up as | Currency | Revenue, GBP |
|---|---|---|---|
| Zenvara | Own organization | GBP | 625,000 |
| Quillfern | Own organization | EUR | 591,500 |
| Both companies | 1,216,500 |
Questions
Should each subsidiary be its own Zoho Books organization?
Yes, if it is a separate legal entity. It then has its own books, base currency, tax filings and audit trail, and you can eliminate what it trades with the rest of the group. Use locations or reporting tags only for parts of a single company.
Can I run two legal entities in one Zoho Books organization?
You can tag them, but you should not. They would share one ledger, one chart and one base currency, with no separate accounts for each entity and no way to eliminate what they trade with each other.
Can I turn Locations off after enabling it?
No. Zoho’s help centre says that once Locations is enabled it cannot be disabled in Zoho Books. You can delete individual locations or mark them inactive. Decide whether you need it before switching it on.
Do locations have their own currency or chart of accounts?
The Zoho pages we opened do not describe a base currency or a chart of accounts for a location. They describe a hierarchy of business and warehouse locations inside one organization. Confirm with Zoho support if your design depends on it.
