Consolidate multiple QuickBooks companies from their trial balances
Finconsol works with QuickBooks today through each company's monthly trial balance upload; a direct QuickBooks connection is coming soon. You export the trial balance from every QuickBooks company and upload it. Finconsol then maps the accounts, removes intercompany and builds one set of consolidated financial statements.
QuickBooks trial balance, step by step
Export it, upload it, and it is checked and mapped before it reaches the group.
A QuickBooks trial balance for September 2026 is exported, uploaded as an Excel file, and checked: 186 rows, debits equal credits. 185 of 186 accounts are mapped; one new account, Consulting income, needs mapping, and September stops until it is mapped.

The owner has five company files and one question
Groups on QuickBooks often grew one company at a time: an operating company, a property company that owns the premises, a services company that employs the staff, and a holding company on top. Each has its own QuickBooks file because that was the simple way to start.
Now the bank, an investor or the owner wants consolidated financial statements, and no report in any of the files gives them.
- Rent and management fees between companies. The property company's rent is the operating company's cost. Both show in the group unless one is removed.
- Loans from the owner's companies. A loan receivable in one file and a loan payable in another have to cancel.
- Part ownership. A company the group owns 70 percent of still shows 100 percent of its profit in a simple add-up.
- Companies in other countries. A Canadian or UK company brings a second currency.
Who this suits
The trial balance route is a good fit when the month-end trial balance is the figure the group stands behind.
- Groups that mix QuickBooks with other systems. A QuickBooks company can sit beside one on Zoho Books or Xero in the same group.
- Groups with companies in several currencies. Each is translated into the group's one currency.
- Groups that need intercompany removed. The entry is kept in Finconsol, apart from the QuickBooks books.
If you want figures to flow from QuickBooks with no upload, that is the direct connection that is coming soon. Until then, the upload takes a few minutes per company once the month is closed.
How groups do it today
Most owners and bookkeepers export a report from each file and add them together in a spreadsheet.
| Spreadsheet | Finconsol | |
|---|---|---|
| Adding companies | Rows pasted under each other, sums rewritten | Each company mapped once to the group chart |
| Rent, fees and loans | Found by memory and keyed by hand | Compared account by account every month |
| Part ownership | A separate calculation, if anyone remembers | Minority interest calculated from the ownership percentage |
| Changes after the fact | A new version of the file | Months lock; every change recorded |

In Finconsol
Choose the company and month
Each QuickBooks company is a company in your group, with its ownership percentage.
Upload the trial balance
Put the figures in the Finconsol Excel or CSV template and upload it. Every row is checked: debits equal credits and every account is known.
Map the accounts
The first time, map each account to the group chart. After that, only a new account needs a decision.
Eliminate and lock
Rent, fees, loans and investments between companies are compared and eliminated, then the group accounts are locked.
What you get
- Consolidated financial statements: balance sheet, profit and loss, cash flow and fund flow, for any month, quarter or year, with comparisons.
- A consolidation worksheet with a column per company, adjustments and the group total, tied to the statements.
- A group trial balance on one chart of accounts.
- Minority interest for partly owned companies.
- Export to Excel and PDF of exactly what is on screen.
Companies on Zoho Books connect directly and refresh every night. QuickBooks, Xero and anything else join by trial balance.
