Consolidation in Excel or in software: where the line sits
Excel works for consolidating two companies in one currency when one careful person owns the workbook. It breaks as a group grows: accounts need re-mapping, rates are typed by hand, intercompany is matched by eye, and nobody can trace a figure. Consolidation software keeps mapping, rates, eliminations and locks in one place.
The same month, two ways
Zenvara Group, September 2026, USD thousands.
On one side a spreadsheet for the month, with a #REF! error, a typed plug of 12,400 to make the balance sheet balance and an unanswered comment about a rate. On the other side the same month in Finconsol, where total assets, net profit and the journal register each agree with the published statements.

It worked with two companies
Most group consolidations start in a workbook, and for good reason. It costs nothing, everyone can read it, and the first version takes an afternoon.
Then a third company arrives, then a company in another currency, then a person leaves. The month end becomes four days of copying, checking and fixing, and the workbook that nobody dares to touch becomes part of the control environment.
- The rebuild takes days. Each month starts with new exports, pasted into last month's file.
- The totals are hard to trust. A new account, a double-mapped account or a broken link changes the group number without warning.
- One person holds it together. When they are away, the close waits.
- The board asks where a figure came from. The answer is a search through tabs.
What a spreadsheet does well, and where it breaks
A spreadsheet is flexible, everyone knows it, and for two companies in one currency with a controlled workbook it is a sensible choice. The line is crossed when the group grows, and the table shows where.
| Spreadsheet | Finconsol | |
|---|---|---|
| Account mapping | Lookup tables per company, re-checked every month | Mapped once to one group chart; an unmapped account stops the month |
| Currencies | Rates typed in; the translation reserve is a plug | Closing, average and historical rates, with rates suggested and the reserve calculated |
| Intercompany | Matched by eye and keyed by hand | Compared pair by pair at account level every month |
| Version control | Copies by email, files named final and final 2 | One set of figures, with a change log |
| Locks and history | None; anyone with the file can change anything | Months lock; every change recorded |
| Tracing a figure | Follow the formulas through tabs and files | Group figure to company, to account, to the transaction behind it in Zoho Books |
| Flexibility | Any layout, any calculation, instantly | Fixed statements, plus a report builder for your own layouts |
Keep Excel if you have two companies, one currency and a controlled workbook. The line is where a second currency, a third company or a second person editing the file arrives.
What changes when the work moves into software
Mapping is done once
Each company's accounts are mapped to one group chart. A new account that is not mapped stops the month and is named, so nothing drops out of a total, and nothing is counted twice.
Rates and the reserve are handled
Rates are suggested from published reference rates and can be typed over, and sanity checks flag a rate that looks wrong. The translation reserve is calculated, so the balance sheet balances.
Intercompany is compared, not hunted for
Each pair of companies is compared at account level every month. The smaller side is eliminated by an entry in Finconsol, apart from the companies' books. What is not eliminated stays visible.
The group has one set of figures
Zoho Books companies are read directly every night, read-only. Companies on Xero, QuickBooks or any other system join by trial balance upload today, with direct connections for Xero and QuickBooks coming soon.
Controls the workbook cannot give
Adjustments are journals in Finconsol, months lock, and a change log records every change. A figure on the board summary can be opened down to the company and the account behind it.
Excel stays where it helps
Trial balances for companies without a direct connection arrive in an Excel or CSV template, with every row checked before it is used. What is on screen exports to Excel and PDF, so your analysis can carry on in the tool you already know.
Not ready to move yet? The free consolidation template guide gives you a working workbook with mapping, eliminations and minority interest, and shows where it begins to strain.
What you get
- Group statements without a rebuild: balance sheet, profit and loss, cash flow and fund flow, for any month, quarter or year, with comparisons.
- A consolidation worksheet with a column per company, the adjustments and the group total, tied to the statements.
- Statements that check themselves, each with its own balance check.
- Your own report layouts, dashboards and board packs built from the same figures.
- History you can rely on: past months loaded once, locked months and a change log.
Good to know
- Finconsol is not a free-form spreadsheet. Its statements are fixed in shape, and your own layouts are made in the report builder rather than cell by cell.
- Finconsol reads the companies' books and writes nothing back to them, so you can run it next to your workbook and compare the two.
- Most groups are live in a day: connect or upload the companies, map their accounts to the group chart, and see the first group accounts.
