Consolidate multiple Xero organisations from their trial balances

Finconsol works with Xero today through each organisation's monthly trial balance upload; a direct Xero connection is coming soon. You export the trial balance from every Xero organisation and upload it. Finconsol then maps the accounts, translates currencies, removes intercompany and produces one set of group accounts.

Xero trial balance, step by step

Export it, upload it, and it is checked and mapped before it reaches the group.

A Xero trial balance as at 30 September 2026 is exported, uploaded as an Excel file, and checked: 214 rows, debits equal credits. All 214 accounts are mapped, and the company is in the group for September.

Every organisation is separate, and the group is nobody's report

A Xero subscription holds one organisation. A group with a UK parent, an Australian subsidiary and a service company in Singapore has three organisations, three charts of accounts and three currencies. Each one closes its month. None of them can say what the group earned.

The founder or the board still asks for one profit and loss and one balance sheet, and somebody on the finance team has to build it.

  • No group view. The reports stop at the edge of each organisation.
  • Charts that do not match. One company calls it "Consulting income", another "Fees".
  • Loans and recharges between companies. They sit in both sets of books and inflate the group until they are removed.
  • A group that is not all Xero. One company is on another system, so a Xero-only tool cannot see it.

Who this suits

The trial balance route is a good fit when the final month-end figures are what the group wants to report.

  • Groups that mix Xero with other systems. Finconsol takes the same trial balance from every company, whatever it runs on.
  • Groups with companies in several currencies. Translation, rates and the translation reserve are handled for you.
  • Groups that need intercompany removed. The entry is kept in Finconsol, apart from the Xero books.

If you need figures to flow from Xero on their own with no upload, that is the direct connection that is coming soon. Until then, the upload is a few minutes per company once the month is closed.

How groups do it today

Most finance teams export every organisation's report into a spreadsheet and join them by hand each month.

Export from Xero, upload to Finconsol

In Xero, for each organisation

  1. Open Reports

In the organisation, go to Accounting, then Reports.

  2. Choose Trial Balance

    Open the Trial Balance report.

  3. Set the month end date

Pick the last day of the month you are closing, for example 30 September.

  4. Export to Excel

Save the file. Repeat for each organisation.

In Finconsol

  1. Choose the company and month

Each Xero organisation is a company in your group.

  2. Upload the trial balance

Put the figures in the Finconsol Excel or CSV template and upload it. Every row is checked: debits equal credits and every account is known.

  3. Map any new accounts

The first time, map each account to the group chart. After that, only new accounts need a decision.

  4. Review the group

Currencies are translated, intercompany is compared and eliminated, and the group accounts are ready to lock.

What you get

  • Group statements: balance sheet, profit and loss, cash flow and fund flow, for any month, quarter or year, with comparisons.
  • A consolidation worksheet with a column per company, the adjustments and the group total.
  • Minority interest for companies the group owns only in part.
  • Budget against actual for each company and for the group.
  • Past months loaded once, so comparisons work from the first day.

Companies on Zoho Books connect directly and refresh every night. Xero, QuickBooks and anything else join by trial balance.

Connects to Zoho Books. Works with Xero, QuickBooks, or any system that exports a trial balance.

Good to know

  • Xero is brought in by trial balance upload today. A direct Xero connection is coming soon.
  • Because the trial balance is the month-end figure, group accounts follow the month you have closed, not each day's postings.
  • Finconsol only reads what you give it. Nothing is written back to Xero, and eliminations and adjustments are kept in Finconsol.
  • Most groups are live in a day.

Questions

Can Xero consolidate several organisations into one report?
Each Xero organisation keeps its own books and reports on its own. To see one balance sheet and one profit and loss for the group, the figures have to be brought together outside Xero. Finconsol does this from each organisation's trial balance.
Does Finconsol connect directly to Xero?
Not yet. A direct Xero connection is coming soon. Today each Xero organisation is brought in by its monthly trial balance upload, and it is the same trial balance your accountant already uses to close the month.
How do I export the trial balance from Xero?
In Xero, go to Accounting, then Reports, then Trial Balance. Choose the month end date and export to Excel. Do this for each organisation, then upload each file to its company in Finconsol.
How do I handle intercompany loans and sales between two Xero organisations?
Finconsol compares what each company holds against the other, pair by pair, every month. The smaller side is eliminated by an entry in Finconsol, apart from the companies' books. Whatever is not eliminated stays visible on a list until it is resolved.
Can Xero organisations in different currencies be in one group?
Yes. Each company is translated into the group's one reporting currency: closing rates for the balance sheet, average rates for profit and loss and historical rates for equity. The difference goes to the translation reserve. Rates are suggested from published reference rates, and you can type over any of them.
Can I mix Xero companies with companies on other systems?
Yes. Zoho Books companies connect directly and are refreshed every night. Xero, QuickBooks and any other system come in by trial balance upload. All of them are consolidated in the same group accounts.
What happens when someone adds a new account in Xero?
When the next trial balance arrives with an account that has not been mapped to the group chart, Finconsol stops that month and names the account. Once it is mapped, the month carries on. Nothing drops out silently.
Can my accounting firm run this for several client groups?
Yes. One login covers the firm, and each client group is kept separate.
