Intercompany transactions between two Zoho Books organizations, step by step

How a sale between two Zoho Books organizations is recorded, what Networking can and cannot do, and a worked month-end difference that explains to zero.

Part of: Zoho Books for a group of companies: the complete guide

In this post 7 sections

In short

Record the sale in the selling organization as an invoice and in the buying organization as a bill, in the currency of the contract. Zoho Books Networking, which is in early access, can push the invoice across and create the bill when it is accepted. At month-end, compare the two balances by counterparty before anything is eliminated.

Key takeaways

  • Each company records its own side. One organization raises an invoice, the other books a bill.
  • Networking moves the document, but Zoho’s page says it is in early access and covers transactions only.
  • Compare balances in the transaction currency before translating, then explain every difference.
  • The elimination happens in the group accounts, not inside either Zoho Books organization.

Checked against Zoho’s help centre on 29 Oct 2026. The pages are listed under Sources.

How do you record an intercompany sale across two Zoho Books organizations?

The example is a management fee. Zenvara Group Ltd, the parent in the United Kingdom, charges Quillfern GmbH in Germany EUR 50,000 for September 2026. The fee and the invoices in this post are illustrations; they are not among the four intercompany pairs shown in the other posts on this blog. Both companies keep their books in their own Zoho Books organization.

The two sides record the same event differently. In Zenvara’s organization, Quillfern is a customer and the fee is an invoice. In Quillfern’s organization, Zenvara is a vendor and the fee is a bill. Set up the other company in both directions before the first transaction, with the same legal name in each, so balances can be read by counterparty.

What can Networking do, and what can it not?

Zoho Books has a feature called Networking for linked organizations. Zoho’s page says it is currently in early access, so you ask Zoho support to enable it, and that it is available only on certain plans1. The comparison page we opened on 29 Oct 2026 has no row for it, so check with Zoho which plan you need4.

How it works, as described by Zoho1:

  • Each organization has a Network Key under Settings, Organization, Networking. Each side saves the other’s key on the matching customer or vendor, and the contact’s Network Status becomes Active.
  • The sender can push purchase orders, invoices, payments made and credit notes. A pushed invoice arrives at the other organization as a bill, in its Network tab, and stays out of the regular list until accepted.
  • The receiver can change details, then save and accept, which creates the transaction, or reject with a reason, which creates nothing.
  • The only thing that crosses between the two organizations is the transactions you push.

Two things the page does not say are worth knowing before you rely on it. It does not describe how contacts, items or currencies are matched between the two organizations, and it does not mention reporting. Agree the contract currency and the contact names between the two finance teams, and treat Networking as a way to avoid re-keying, not as a control.

Without Networking, the alternative on Zoho’s pages is manual. The knowledge base says data cannot be transferred automatically between two organizations, and that you can export from one and import into the other2.

Free: Intercompany reconciliation template

This free Excel template compares what each group company records against its sister companies. It lists every pair by counterparty and transaction currency, shows the receivable, the payable and the difference, and records the reason, owner and due date for anything that does not agree. It has one sheet for each month and a filled example.

  • One sheet per month, so last month's open items are the first thing you see.
  • Pairs by counterparty and transaction currency.

What are the steps, month by month?

  1. Before month-end: publish the group’s closing and average rates and the cut-off date to both companies.
  2. During the month: the seller raises the invoice in the contract currency. If Networking is enabled, it pushes the invoice. The buyer accepts it as a bill, or books it by hand.
  3. At month-end: each company lists its intercompany balance with the other, in the contract currency.
  4. Compare: put the two balances side by side in that currency first, then in pounds at the group closing rate. Any difference is timing, rate, coding or dispute.
  5. Explain: give each difference a cause and an owner, as in the post on why balances never agree.
  6. Eliminate: in the group accounts, remove the amount both sides agree on. The guide to intercompany eliminations shows the entries.
  7. Carry what is left into next month’s list, with its owner.

What does a month-end difference look like?

At 30 September two invoices from Zenvara to Quillfern are open. ZI-1190 is the EUR 50,000 management fee, which both companies booked in September. ZI-1201 is for EUR 12,000 of IT services. Zenvara pushed it on 30 September, and Quillfern accepted it on 2 October. At the balance sheet date it existed in one organization only. Both companies use the group closing rate of 0.8470, so there is no rate difference to find.

The same fee shows up at two rates in the group accounts: 42,250 in profit and loss, at the average rate of 0.8450, and 42,350 as a balance at the closing rate of 0.8470. That is normal translation, not an intercompany difference. Compare the balances in the transaction currency first and you will not chase it.

Nothing is wrong in either book. On 2 October Quillfern books ZI-1201 and the two sides agree. Until then the group eliminates the smaller side and carries ZI-1201 as an open item.

What does Zoho Books not do for intercompany?

On the pages we opened, Zoho Books does not compare the two organizations’ balances, does not eliminate them, and does not report on the pair. Zoho ERP, a different product, has an intercompany flow with an accept or reject step and an elimination subsidiary3. That is a different system, and it does not change what Zoho Books does.

So the comparison happens in a spreadsheet or in consolidation software. The post on whether Zoho Books can consolidate explains why the two organizations’ reports cannot just be added, and the reconciliationIntercompany reconciliationComparing what each group company records with its counterparties and explaining every difference.Open the glossary entry template below gives you a sheet to track differences by pair.

How does Finconsol handle this?

Finconsol reads both Zoho Books organizations directly, read only, with a refresh every night, and lists every intercompany pair for the month: what one company says it is owed, what the other says it owes, the smaller amount to eliminate and the difference left open. An open difference stays on the list until it is explained, corrected in a company or adjusted.

The comparison works across systems. A pair where one company is on Xero or QuickBooks, or on any other system, uses the trial balance it uploads. Eliminations are entries in the group accounts, never in a company’s books, and each is recorded in the change log with its time. Once a month is locked, its eliminations cannot be changed.

Questions

How do I record an intercompany sale between two Zoho Books organizations?

Raise an invoice in the selling organization, with the buyer set up as a customer, and book the matching bill in the buying organization, with the seller set up as a vendor. Use the contract currency on both. If Networking is enabled for both, the invoice can be pushed and accepted as a bill.

What is Zoho Books Networking?

A feature that lets linked Zoho Books organizations push supported transactions to each other and accept or reject them. Zoho’s help centre says it is in early access, needs Zoho support to enable it, and is available only on certain plans.

Can Zoho Books create intercompany transactions automatically?

Networking can create the buyer’s bill when the seller’s pushed invoice is accepted, but the receiver reviews and accepts it. Zoho’s knowledge base says data cannot be transferred automatically between two organizations, and describes manual export and import.

Where do I eliminate the intercompany balance?

In the group accounts, not inside either organization. Each company keeps its own receivable or payable. The group removes the amount both sides agree on and carries any difference as an open item with an owner.
