Moving group reporting off spreadsheets without leaving Zoho Books
The ledgers stay in Zoho Books. Only the group layer leaves the spreadsheet. What moves, what stays, and a parallel run that proves it before you switch.
Part of: Zoho Books for a group of companies: the complete guide
In this post 7 sections
In short
You do not have to leave Zoho Books to leave the group spreadsheet. The ledgers stay where they are. What moves is the group layer: rates, account mapping, translation, eliminations, ownership and the pack. Run the new method beside the spreadsheet for one month, explain every difference, then retire the spreadsheet.
Key takeaways
- The books do not move. Each company keeps posting in Zoho Books, or whatever it uses today.
- Only the group layer changes: rates, mapping, translation, eliminations, non-controlling interest and reporting.
- Run both for one month and explain every difference before you switch.
- A spreadsheet is still fine for a very small group. The point is knowing when it stops.
Why do groups outgrow the spreadsheet?
A group spreadsheet begins well. Three companies, two foreign currencies, one tab per company and a summary. It stops being enough gradually: a fourth company, an ownership of less than 100 percent, a new account in one ledger, a rate changed by one person and not another. Nothing breaks visibly. A cell is wrong, and the total still adds up.
Here is the smallest example. Palmridge’s September revenue is AED 4,800,000. Translated at the average rate of 0.2025 it is GBP 972,000. Someone pastes the closing rate of 0.2040 into one cell instead.
| September 2026 | Correct | One wrong rate | Difference |
|---|---|---|---|
| ZenvaraGBP | 625,000 | 625,000 | 0 |
| FernhollowUSD 460,000 at 0.7540 | 346,840 | 346,840 | 0 |
| PalmridgeAED 4,800,000 at 0.2025, or by mistake 0.2040 | 972,000 | 979,200 | 7,200 |
| Revenue before eliminations | 1,943,840 | 1,951,040 | 7,200 |
Example group used across Finconsol guides. Three of the group’s five companies shown. Averages: USD 0.7540, AED 0.2025.
Revenue is overstated by 7,200, and nothing flags it. A formula that picks the right rate from a table would have avoided it; a person pasting in a cell did not. That is the case for moving rates and mapping out of cells and into one place.
What does Zoho Books give you for a group today?
Zoho’s help page on managing multiple organizations explains creating and cloning them, and mentions no combined or consolidated report1. Budgets can be exported: the budgets page says the budget summary can be exported as PDF, XLS or XLSX2. The reports help lists scheduling of reports3. Those are the pieces a spreadsheet is built from, one company at a time.
For several organizations Zoho’s own partner article uses Zoho Analytics, with a query that multiplies amounts by rates typed into it. It says the rates are entered manually, and it does not mention eliminations, non-controlling interest or a translation reserve4. Checked against Zoho’s help centre on 29 Oct 2026.
None of this means Zoho Books is the wrong place for the ledgers. It means the group layer is separate.
What moves and what stays?
| Item | Where | Status |
|---|---|---|
| Each company’s ledger | Zoho Books, QuickBooks, Xero or another system | Stays |
| Daily posting, invoices, bank | In each company, as now | Stays |
| Trial balance for the month | Read from Zoho Books, or supplied by upload | Comes in |
| Rates, mapping, translation | Group tables, not cells | Moves |
| Eliminations and ownership | Per month, with a record | Moves |
| The board pack | Built from the same figures | Moves |
The trial balanceTrial balanceA list of every account balance at a date, with total debits equal to total credits. It is the starting point for consolidating a company's figures.Open the glossary entry is the hand-over point. As long as each company can produce one, in its own currency, the group layer does not care which system it came from.
How do you switch without a risky month?
- Pick a closed month and the spreadsheet figures you already trust.
- Load the same trial balances into the new group layer and set the same rates.
- Compare line by line. Expect differences, and write down the cause of each.
- Fix the cause, in the spreadsheet if the spreadsheet was wrong or in the setup if the setup was.
- Run one more live month in both, then retire the spreadsheet with its last version kept.
| September 2026 | Spreadsheet | Group layer | Difference |
|---|---|---|---|
| Revenue before eliminations | 1,943,840 | 1,943,840 | 0 |
| Intercompany sales eliminatedAED 400,000 at 0.2025, Zenvara to Palmridge | 0 | (81,000) | 81,000 |
| Revenue after eliminations | 1,943,840 | 1,862,840 | 81,000 |
Three of the group’s five companies shown. Here the spreadsheet left the intercompany sale in revenue. The standards require it eliminated in full.
The 81,000 is the cause of the difference, and it is a good one to find: the spreadsheet counted the group’s sales to itself. Intragroup income and expenses are eliminated in full5.
When is a spreadsheet still enough?
For three companies, two foreign currencies, full ownership and a calm month, a well-built spreadsheet can do the job. The warning signs are a part-owned subsidiary, a fourth currency, a mapping that only one person understands, a late rate change, and the month-end that depends on one file being sent to the right person.
Whichever you choose, three habits help. Keep the rates in one table and never in a cell. Keep a list of every account mapping with the date it changed. And keep last month’s file locked, so a number reported to the board cannot change because someone tidied a tab.
How does Finconsol handle this?
Finconsol is the group layer described above. It reads Zoho Books directly, read only and every night, takes Xero and QuickBooks by trial balance upload today (direct connection coming soon), and takes any other system by trial balance. Rates, mapping, translation, intercompany, non-controlling interest and the board pack run from the same figures.
Locked months and a change log keep a closed month closed, and the accounting firms that run group accounts for several clients can use it for each.
| Company | Local | Rate | GBP |

| Fernhollow | USD 460,000 | 0.7540 | 346,840 |
| Palmridge | AED 4,800,000 | 0.2025 | 972,000 |
| Intercompany eliminated | AED 400,000 | 0.2025 | (81,000) |

Questions
Do I have to move my companies off Zoho Books?
No. The ledgers stay where they are. Finconsol reads Zoho Books directly, read only, and takes other systems by trial balance.
Can I keep my spreadsheet while I test?
Yes, and you should. Run one closed month in both, explain each difference, and retire the spreadsheet only when you trust the group layer.
Is a spreadsheet enough for three companies?
Often, if there are only a couple of currencies and no part-owned subsidiary. It stops being enough when the number of rates, owners and people touching the file grows.
What do I need to hand over from each company?
A trial balance for the month in the company’s own currency, with intercompany balances shown by counterparty.
