Why Zoho Books will not let you lock a period, and how to fix it
Negative stock in one location, a bill dated after the lock date, and two unlock rules: the four cases on Zoho's own help page, with a worked stock example and what to do about each.

In short
Zoho’s help page names four blocks: negative stock in any location, a sale that depends on a bill dated after the lock date, a partial unlock on an organization with inventory-tracked items, and unlocking purchases while related sales stay locked. Fix the stock or the bill, or review the negative-stock setting.
Key takeaways
- Most blocked locks are about stock. A sale booked before its purchase bill leaves negative stock, and Zoho Books can stop the lock.
- Stock is valued per location. One location below zero can block the lock while total stock is positive.
- A bill dated after the lock date behind a sale in the locked period also blocks it.
- Check the setting “Restrict transaction locking with negative stock” before you decide which fix is right.

Why will Zoho Books not let you lock a period?
Zoho’s page describes locking as a way to stop transactions dated before a chosen date from being added, changed or deleted. It then lists cases where the lock is refused or where a later unlock is refused. All of them come from one cause: a locked sale has a cost of goods sold figure, and anything that could change that figure later has to be settled before the lock.
When an item is sold before its purchase bill is recorded, Zoho says Zoho Books temporarily records the cost of goods sold using an estimated cost. Zoho gives that exposure as the reason behind each case below.
Is negative stock stopping the lock?
This is the commonest cause. Zoho’s page says locking is blocked when the period includes negative stock, which arises when an item is sold before its purchase bill is recorded. Inventory is valued per location, so a single location with negative stock can block the lock even if total stock across locations is positive.
Quillfern, the group’s German company on Zoho Books, has one item stocked in two warehouses. At the end of September 2026 the position looks fine in total and wrong in Munich.
| Location | Opening | Bought | Sold | Closing |
|---|---|---|---|---|
| Munich | 20 | 0 | 60 | (40) |
| Hamburg | 150 | 0 | 10 | 140 |
| Total | 170 | 0 | 70 | 100 |
Example group used across Finconsol guides. Illustrative stock figures for one item.
Total stock is 100 units, but Munich sold 60 against an opening 20, so it closes 40 units below zero. Zoho’s page says this blocks the lock. The way out is to record the purchase bill that should have been entered, or to move stock into Munich with a transfer, so that each location closes at zero or above. Posting the bill after locking is not an option: Zoho says that if the bill is recorded after locking, the invoice’s cost of goods sold cannot be corrected.
There is also a setting. Under Transaction Locking, Zoho offers “Restrict transaction locking with negative stock” and an allow option, applied with the Apply button. Restrict keeps the lock from going ahead until the stock is put right; allow lets it go ahead with the estimate in place. Which one suits you is a decision for your accountant.
Free: Group month-end close checklist
This free Excel checklist lays out a five-day group close task by task, with an owner, a company and a due date for each. Due dates follow the month-end date you enter, and a progress sheet shows the percentage complete for each day. It is built for groups of 3 to 30 companies.
- Thirty tasks, from the week before month-end to locking the month on day 5.
- An owner and a company for every task, ready to rename.
What if a bill is dated after the lock date?
Zoho’s page describes a second block. If a sale inside the period you want to lock depends on a bill that is dated after the lock date, locking is refused, because changing that bill would change the cost of goods sold of the locked sale. A practical check, which is this post’s suggestion and not Zoho’s, is to look at the bills dated just after the period and see whether one of them belongs before it.
Why can you not partially unlock?
The page says partial unlocking is not allowed for an organization that has items with inventory tracking, because a change could alter cost of goods sold, calculated by first-in first-out, in a locked period. If an organization tracks inventory, a correction means a full unlock, a change and a new lock.
Why can you not unlock purchases?
Zoho’s page also says that if sales are locked and purchases are not, Zoho Books will not let you unlock the related purchase transactions, because changing a purchase could affect the cost of goods sold on a locked sale. The simple way to avoid this is to lock all transactions together with one date, unless you have a reason to hold a module open.
| Situation | What Zoho says | What to do |
|---|---|---|
| Negative stock in any location | Locking blocked, even if total stock is positive | Record the missing bill or transfer stock; check the negative-stock setting |
| Sale depends on a bill dated after the lock date | Locking blocked | Correct the bill date, or choose a later lock date |
| Partial unlock with inventory-tracked items | Not allowed | Full unlock, correct, lock again |
| Sales locked, purchases not | Unlocking the related purchases is blocked | Lock all transactions together |
| Cases on the page | 4 | 1 setting |

What does this mean for a group?
One company that cannot lock holds up the group month. In the example group, Zenvara, Fernhollow, Palmridge and Kestrelwick can lock on working day 4, and Quillfern cannot until its Munich stock is put right. The group can wait, or lock the other four and treat Quillfern as the one open item. Either is a choice for the group controller, and whichever is chosen, it should be written down.
Locking is a feature of each organization; the pages checked do not describe a lock across several. See the post on locking the same month in every company of a group for the routine.
| Company | Source | Trial balance | Accounts | Intercompany |

| Zenvara | Zoho Books | In | All mapped | Cleared |
| Fernhollow | Trial balance upload | In | All mapped | Cleared |
| Palmridge | Trial balance upload | In | All mapped | 2,213 open |

How does Finconsol handle this?
Finconsol does not change the lock in Zoho Books, which stays with each company and its own rules. It locks the group month: the close screen lists what stops the month, and when nothing is left it shows the button that locks it. The lock is recorded in the change log, so a group can decide not to lock until the last company is ready.
Zoho Books companies are connected directly, read only, with a nightly refresh. Companies on Xero or QuickBooks come in by trial balance upload today, with a direct connection coming soon, and any other system by trial balance.
Questions
Why does Zoho Books say I cannot lock because of negative stock?
Zoho’s page says locking is blocked when the period includes negative stock, which happens when an item is sold before its purchase bill is recorded. Record the bill or transfer stock. Stock is valued per location, so check each one.
Can I lock with negative stock in Zoho Books?
Zoho’s page describes a setting under Transaction Locking, “Restrict transaction locking with negative stock”, with an allow alternative. Choosing allow lets the lock go ahead, and the page warns that the sale’s cost of goods sold cannot be corrected once locked.
Why can I not partially unlock a period in Zoho Books?
Zoho’s page says partial unlock is not allowed for an organization with inventory-tracked items, because a change could alter first-in first-out cost of goods sold in a locked period.
Why can I not unlock purchases when sales are locked?
Zoho’s page says Zoho Books will not let you unlock the related purchase transactions while the sales stay locked, because purchase changes could affect the cost of goods sold of the locked sales.
