# Exchange rates in Zoho Books: automatic feeds, manual rates and one rate for the group

> What Zoho Books does with exchange rates, why ten companies end up with ten rates for one currency, and the short rate sheet a group should publish each month.

## In short

Zoho Books can fetch exchange rates automatically or let you enter them yourself once the feed is off. Each organization holds its own rates, so ten companies can end up with ten different rates for one currency. A group should pick one source, set one closing and one average rate per currency each month, and use them everywhere.

Key takeaways

- **Zoho Books has two modes:** an automatic feed, on by default, or manual rates once the feed is disabled.
- **Rates live in each organization,** so the group needs a policy to keep them the same.
- **A group needs two rates per currency per month:** closing for the balance sheet, average for profit.
- **One rate set for every company** is what makes intercompany balances agree and the reserve explainable.

## What does Zoho Books do about exchange rates?

Zoho's currencies page says Zoho Books can update exchange rates automatically, in real time, through Open Exchange Rates, and that exchange rate feeds are enabled by default[1](#src-1). If you prefer your own rates, you disable the feeds and add rates yourself for any day. A rate you add is effective from its date until you add a new one with a later date. The page describes adding and deleting rates[1](#src-1). Checked against Zoho's help centre on 29 Oct 2026.

A Zoho blog post from December 2022 gives the same source, rates set against the organization's base currency and fetched when transactions are created[2](#src-2). It is a dated post, so use the help page for what the product does today.

Both modes are sensible for one company. The rate on an invoice is the rate on the day, and a currency adjustment at period end revalues open balances[3](#src-3).

## Why is that not enough for a group?

A group does not need a rate for each invoice. It needs a short set of rates for each month, and the same set for every company. Each Zoho Books organization has its own settings, so nothing makes two organizations use the same rate or the same date.

In the example group, Zenvara's bank rate for the dirham was 0.2050 on 30 September. The group closing rate was 0.2040. A gap of 0.0010 per dirham looks harmless, and it is what made the intercompany balance with Palmridge disagree by 377. Applied to the whole company, it is not small.

*Exhibit 1. The same balances at two ratesGBP*

| 30 Sep 2026 | Group closing rate | Another rate for the same day | Difference |
| --- | --- | --- | --- |
| Palmridge net assetsAED 13,905,000 | 2,836,620 | 2,850,525 | 13,905 |
| Fernhollow net assetsUSD 500,000 | 378,000 | 379,000 | 1,000 |
| Group net assetsdifference from using a different rate | 3,214,620 | 3,229,525 | 14,905 |

Group rates: AED 0.2040, USD 0.7560. The other rates are 0.2050 (a bank rate) and 0.7580 (a rate from a different feed).

14,905 of net assets moves because of the rate chosen, and none of it is real. It would flow into the translation reserve and nobody could say why.

## What should a group agree about rates?

1. **One source,** named in the close calendar: a central bank, a bank or a market feed. Whatever it is, one.
2. **One date.** The closing rate is the rate on the last day of the month. The average rate is the average for the month, calculated the same way each time.
3. **Two rates per currency per month,** both quoted as one unit of the foreign currency in the group currency, so nobody divides when they should multiply.
4. **Published before the close starts,** and not changed afterwards. A changed rate is a restatement.[4](#src-4)
5. **The same set for everything:** translation, intercompany comparison and consolidation adjustments.

*Exhibit 2. The group rate sheet, September 2026GBP per unit*

| Currency | Average Sep 2026 | Closing 30 Sep 2026 | Closing 31 Aug 2026 |
| --- | --- | --- | --- |
| USD | 0.7540 | 0.7560 | 0.7500 |
| AED | 0.2025 | 0.2040 | 0.2010 |
| SGD | 0.5850 | 0.5870 | 0.5820 |
| EUR | 0.8450 | 0.8470 | 0.8420 |

Each rate is the value of one unit of the foreign currency in pounds.

Four rows is the whole input. The [closing rate](/blog/glossary/closing-rate/) is used for assets and liabilities and the [average rate](/blog/glossary/average-rate/) for profit; last month's closing rate is needed to explain the reserve.[4](#src-4)

The average rate needs one more decision. IAS 21 allows an average for the period when it approximates the rates on the transaction dates, and says it is inappropriate if rates fluctuate significantly[4](#src-4). Choose how the average is calculated, for example from daily rates or from month-end rates, write it down, and use the same method every month. If a currency swings sharply, the group should also decide in advance what it does.

## Can the group rate sheet live inside Zoho Books?

You can add a manual rate for any day once the feed is disabled, but doing this in every organization means keeping each one in step by hand. For group reporting it is cleaner to hold the group rate sheet once, outside the ledgers, and leave each company to use whatever is right for its own transactions.

## How does Finconsol handle this?

In Finconsol the group holds one rate table, for each currency and each month. Every foreign company is translated with it, so two companies cannot use two rates for one currency. Finconsol suggests closing and average rates for each currency and period from published reference rates, and you can type over any of them. Nothing in a company's own Zoho Books needs to change, since Finconsol reads it directly, read only, every night.

Companies on Xero, QuickBooks or any other system come in by trial balance and use the same rate table. A locked month cannot be changed.

## Questions

**Does Zoho Books update exchange rates automatically?**

Zoho's currencies page says exchange rate feeds are enabled by default and rates update through Open Exchange Rates. You can disable the feeds and enter rates yourself.

**Which exchange rate should a group use for the balance sheet?**

The closing rate on the last day of the period, for every company, from one named source. Profit uses the average rate for the period.

**What rate source should a group choose?**

A central bank, a bank or a market feed all work. What matters is that the group names one in its close calendar and uses it for every company and every month.

**What if a subsidiary used a different rate in its own books?**

Its own transactions can stay at that company's rates. The group translates its closed trial balance with the group rate set, and a difference on an intercompany pair is a rate difference to explain, not an error.
